Description

Manage the security of documents, folders and knowledge centers (KCs) using the following Functions and Smart Services:

UPDATED 10.29.2019: Added a new smart service called "Approve Pending Documents and Folders" under "Document Management" which allows you to approve documents and folders which are in the pending state due to previously being created or deleted from a folder which was marked as Approval Required. Use this smart service after using the "Remove Approval Required" smart service if there are documents and folders that you have created but cannot download or see in the design environment. gChangesApproval": Given a KC, it will return a list of all folders that require approval for documents

UPDATED 06.25.2012: Added a new smart service called "Remove Approval Required" under "Document Management" which allows you to remove this flag from a list of folders. This is useful when you notice that even after un-checking the "Require administrator approval for all Knowledge Center changes" option in the KC Security Rules, the folder still requires approvals for changes. This can happen with folders created with the API or if the security of the folder is incorrectly modified with the API.

This smart service is NOT required when using the "Inherit Security From Parent" smart service as this one correctly modifies the security and preservers the value of this flag inherited from the parent.

UPDATED 06.11.2012: The "Require administrator approval" and "Hide from search results" settings are now correctly inherited from the parent when using the "Inherit Security From Parent"

UPDATED 05.04.2012: Added a new smart service called "Inherit Security From Parent" which allows to reset the "Inherit security from parent" option in a list of folders.

UPDATED 04.30.2012: It now contains a custom function that returns the list of users who have downloaded the given documents and are part of the specified group. Useful to determine what users from a specific group have downloaded the any of the given files without going to the interface to check the download statistics.

This plug-in contains smart services to manage the removal of members from the security role map of a KC or a Folder which is not inheriting the security from the parent.

  • The smart services are available under the Document Management palette: Remove Member From KC Security and Remove Member From Folder Security.
  • If the content object is inheriting the security from the parent no action is performed.
  • The user or group is removed from the rolemap regardless the original role.
